Practice Manager / Administrative Assistant

About the Role
The Practice Manager / Administrative Assistant supports both the administrative and accounting functions of the firm. This role includes client management, scheduling, bookkeeping tasks, human resources support, and workflow coordination. Success in this position requires a proactive mindset, exceptional organization, strong communication skills, and the ability to balance consistency with flexibility.
This is an in-office role based in Ramsey, New Jersey. After an initial training and acclimation period, there may be some opportunity for limited remote work. The position is open to candidates seeking either part-time or full-time hours.
Key Responsibilities
· Manage the executive calendar, scheduling client meetings, reminders, and internal operations.
· Manage workflow through Canopy (CRM and task management system).
· Assist with human resources functions, including onboarding and payroll.
· Maintain and update client master lists and confidential tracking sheets (active clients, tax-year status, billing, etc.).
· Prepare and proof professional correspondence, summaries, and follow-up communications.
· Collaborate with team members to strengthen and streamline internal processes, ensuring that all staff have what they need.
· Oversee collections and accounts receivable.
· Contribute to process documentation and improvement as systems evolve.
· Handle sensitive client and financial information with the highest level of discretion.
Qualifications
· 7 plus years of experience as an Administrative Assistant, Practice Manager, or Firm Manager.
· A plus: knowledge of QuickBooks Online and/or Canopy (CRM)
· Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
· Excellent written and verbal communication skills.
· Highly organized, responsive, and able to manage shifting priorities effectively.
· Professional, collaborative, and solutions-oriented approach.
· Comfortable working in-office and maintaining structured accountability, with potential for some remote work after acclimation.
Work Schedule
Part-time or full-time options available: 25 to 40 hours per week.
Standard schedule is 9 to 5 with one hour for lunch (adjustments may be considered for part-time candidates).
